This role is designed to provide an individual with a baseline understanding of the flow of materials within a marketing services firm. The Project Coordinator works with various departments and individuals to ensure materials and resources flow through the company in a timely manner. 

This blend requires the incumbent to be smart, flexible, polished and detail oriented. The roles listed below are subject to change. 

Primary Responsibilities: 

Project Management: 

  • Creates and manages project timelines 
  • Routes and tracks the progress of projects through PM software, as well as creates folders on a web-based collaboration platform 
  • Responsible for all actions related to opening and closing projects 
  • Schedules and leads weekly status and hot sheet meetings 
  • Packages and submits all creative files and corresponding materials into the vendor specific Medical/Legal/Regulatory review system 
  • Exudes comfort and confidence working with teams at varying levels of experience 
  • interfaces daily with account service and creative personnel regarding jobs in progress
  • Miscellaneous team support 

 

Problem Solving: 

  • Identifies and discusses potential problems with timeline barriers on project deliverables 

 

Time Management: 

  • Ensures that all project materials are routed to appropriate team members in an orderly and timely manner 
  • Facilitates scheduling various meetings and provides necessary support and direction 

 

Financial Management: 

  • Attends weekly finance meetings 

Qualifications: 

  • Bachelors degree in related field, potential project management certification 
  • 6 months advertising agency, especially pharmaceutical ad agency experience preferred 
  • High motivation, good work ethic, maturity, and personal initiative 
  • Strong oral and written communication skills 
  • Strong attention to detail 
  • Fluency in Microsoft Office applications
